Customer Service Representative 

Intake Coordinator

Customer Service Representative (Full-Time) 

Enjoy talking on the phone and helping others? Apply for our Customer Service Representative position and work with our team here in our Agoura Hills office (this position is not remote).



  • Maintain high volume of outbound calls and prioritization of leads

  • Manage multiple computer databases for documenting patient information

  • Initiate phone calls to current patient population to replenish supplies

  • Confirm or capture patient demographics, insurance, equipment and/or physician information

  • Delivery timely and accurate information regarding insurance eligibility and coverage

  • Act as the liaison between the patient and other departments, if necessary

  • Achieve daily, weekly, and monthly targets

  • Provide high level customer service in a fun and fast-paced environment


  • Excellent telephone and written communication skills required

  • Proficiency with a computer and working knowledge of Microsoft Office applications

  • Healthcare experience helpful, but not required

  • High school graduate or GED required

Intake Coordinator (Full-Time) 

We have a terrific opportunity for an Intake Coordinator who wants to join our Intake team in our Agoura Hills office (this position is not remote).



  • Coordinate calls with patients to discuss medical equipment setup and usage

  • Instruct patient on details of machine and supply usage, including recommendations for masks

  • Explain resupply program process to patients

  • Initiate patient calls regarding insurance compatibility with health-care provider for DME and inform patients of financial responsibility

  • Coordinate payment arrangements/payment plans, including but not limited to credit card payments, when necessary

  • Initiate outbound calls for necessary medical records to meet appropriate compliance standards for PAP and oxygen equipment and supplies

  • Work with department members to ensure expedient processing of patients through intake process

  • Ensure all voicemails are responded to within two hours

  • Respond to and facilitate inbound patient calls and handle appropriately, either satisfying patient requests/needs, or coordinate call with appropriate department to ensure patient satisfaction

  • Review acquired documentation for accuracy and completeness

  • Maintain compliance standards for all documents received in accordance with company compliance and HIPAA regulations

  • Maintain individual and departmental goals to achieve successful metrics

  • Other duties as assigned


  • Good customer service skills

  • Ability to work in a fast-paced environment, prioritizing workload with frequent interruptions

  • Demonstrated passion for excellence with respect to treating and caring for patients

  • Ability to communicate clearly both verbally and in writing

  • Excellent problem-solving and troubleshooting skills

  • Demonstrated attention to detail and follow up

  • Working knowledge of MS Office Suite (Excel and Outlook); ability to manage multiple databases simultaneously

  • High School graduate or GED required; Bachelor’s Degree preferred
